We’re looking for another great team member to join our team as an Administrative/Accounting Assistant. We are a small, but growing full-service advertising agency located in Sioux Falls, SD.

JOB DESCRIPTION:

The Administrative/Accounting Assistant will be responsible for providing administrative support to ensure efficient operation of the office. Main tasks will be answering phone calls, schedules, meetings and supporting visitors. This role will work closely with management to help with bookkeeping including  data entry, processing, recording transactions, invoicing and preparing budgets or reports.

RESPONSIBILITIES:

  • Take pride in being the first impression of Caliber and greet clients, visitors and team members in a fun, professional manner.

  • Answers phone calls, schedules meetings and supports visitors.

  • Oversee the day-to-day operations of the office, ensuring a clean, organized, and efficient workspace.

  • Responsible for managing Gmail calendar and coordinate daily meetings and appointments

  • Carries out administrative duties such as filing, typing, copying, scanning etc.

  • Completes operational requirements by scheduling and assigning administrative projects and expediting work results.

  • Makes travel arrangements for senior staff such as booking flights, cars, and hotel or restaurant reservations.

  • Plan and organize company events, meetings, and workshops.

  • Ensure events run smoothly by coordinating logistics and catering.

  • Exhibits polite and professional communication via phone, e-mail, and mail.

  • Great communicator and collaborator, inside the office and out

  • Supports the team by performing tasks related to organization and strong communication.

  • Ensures operation of equipment by completing preventive maintenance requirements, calling for repairs, maintaining equipment inventories and evaluating new equipment and techniques.

  • Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies.

  • Accounting assisting with data entry, processing, recording transactions, invoicing, reconciliation and preparing budgets or reports

  • People person with a witty sense of humor

  • Willingness to get involved in projects and seek out ways to help

  • Ability to think on your feet and react to client and vendor inquiries

  • Take pride in your work with meticulous attention to detail

  • Friendly, outgoing personality, even on Monday mornings

  • Work on-site at our office in Sioux Falls, SD

EXTRA POINTS:
